Your academic transcript and other academic documents are the most essential documents if you plan to study abroad. How you get your transcript and which office issues it depends on your academic level.

In Grade 12, students can receive their transcripts from the National Examinations Board (NEB), or their schools for A-levels. For bachelor’s or master’s students, the issuing authority is the Office of the Controller of Examinations or a similar certification office of your university.

Official university portals in Nepal also show online or portal-based processes for at least some document requests, but the exact steps still differ by institution.

What is a Transcript?

A transcript is an official academic record issued by your school board, college, or university that shows all the subjects you studied, the grades or GPA you received, your academic year/semester history, and your overall result in one verified document. For students, this differs from a simple marksheet because it provides a complete, summarized academic history in a format accepted by universities abroad.

What Does a Transcript Certificate Include?

A transcript contains the following academic information:

  • Student’s full name
  • Registration or symbol number
  • College/university name
  • Faculty or stream
  • All subjects studied
  • Semester-wise or year-wise grades
  • GPA / percentage
  • Final result or degree completion status
  • Official seal and signature

Why Do Students Going Abroad Need Transcripts?

Students going abroad need transcripts because they officially prove their academic history, grades, and completed subjects, which universities use to assess admission eligibility, scholarships, visa documentation, and credit evaluation.

  • Proof of Academic Performance:  A transcript shows your marks, GPA, grades, completed subjects, and academic progress, helping universities assess your performance.
  • Required for University Admission: Most foreign universities ask for transcripts during the admission process to decide whether you meet the minimum academic requirements.
  • Needed for Credit Evaluation: Universities use transcripts to compare your Nepali education with their own system and decide whether your qualifications match their course standards.
  • Important for Scholarships: Many scholarships are based on academic merit, so your transcript helps universities and scholarship bodies check whether you qualify.
  • Used for Visa Documentation: During the student visa process, transcripts are often required as part of the academic document checklist to prove your previous education.
  • Essential for Credential Evaluation (WES, ECA, etc.): If you are applying to countries like Canada, transcript certificates are often required for evaluation by agencies such as World Education Services.
  • Helps Verify Authenticity of Education: Official transcripts reduce the risk of fraud and help universities confirm that your grades and qualifications are genuine.
  • Needed for Course Transfers and Advanced Standing: If you want credit transfer or admission into an advanced semester, your transcript becomes very important.
  • Supports Admission Decision Faster: A properly prepared transcript in the correct format helps universities process your application more quickly.
  • Useful for Multiple Countries: Whether students apply to Australia, Canada, the USA, or the UK, transcript certificates remain a standard requirement.

Who Issues Transcripts in Nepal?

In Nepal, transcript certificates are issued by the respective education board or university that conducted your final examination, such as NEB for Grade 12 and TU or KU for higher studies.

If you completed Grade 12

You usually need to apply through the National Examination Board (NEB) for your +2 transcript and certificates. The NEB system regularly publishes online application links, certificate notices, and verification updates, while the main office remains at Sanothimi, Bhaktapur, for board-level academic records.

Tribhuvan University (TU) degree

For Tribhuvan University, transcript services are handled by the Office of the Controller of Examinations (OCE), Balkhu, Kathmandu. TU now also provides online transcript and provisional certificate services through its student portal, making the process easier for students applying abroad.

Kathmandu University (KU) degree

Kathmandu University provides an Online Document/Certificate Request Portal, where students log in using their registration details and university registration number to request transcripts, certificates, and related academic documents.

Pokhara University degree

Pokhara University offers fully online examination services for Academic Transcript, Migration Certificate, and Provisional Certificate, along with status tracking and collection instructions once the document is ready, which is very useful for students with tight university deadlines abroad.

Purbanchal University degree

Purbanchal University provides separate downloadable forms for transcript requests, original certificates, provisional certificates, and migration certificates through its Office of the Examination Management, making it easier to apply for the exact document needed.

Nepal Open University degree

Nepal Open University has a dedicated online section for Transcript, Provisional, and Migration Application Forms, and it also provides the bank payment details and form download options directly on its website, which is convenient for students outside Kathmandu.

How to Get Transcripts in Nepal: Step-by-Step

To get a transcript certificate in Nepal, you need to apply through your respective board or university by submitting the required academic documents, paying the fee, and collecting the transcript online or from the examination office once it is ready.

Step 1: Identify Your Issuing Institution

First, confirm which board or university issued your final result.

Examples:

  • NEB: Grade 12
  • TU: Bachelor’s / Master’s
  • KU: KU degrees
  • Pokhara University: PU degrees
  • Purbanchal University:  Purbanchal University degrees
  • Nepal Open University: NOU degrees

This step matters because each institution has its own transcript system and fee structure.

Step 2: Prepare Required Documents

Keep all the necessary academic documents ready before applying. Usually required:

  • Registration card or symbol number
  • Previous mark sheets/semester transcripts
  • Citizenship or valid photo ID
  • Passport-size photos (for some universities)
  • Application form
  • Payment voucher or online payment receipt

TU commonly asks for your registration card and all mark sheets.

Step 3: Fill Out the Transcript Application Form

Complete the transcript request form carefully. You can usually get the form through:

  • the university exam office
  • official online student portals
  • downloadable PDF forms
  • help desk counters

Step 4: Pay the Transcript Fee

Next, pay the required transcript processing fee. Depending on the university, payment may be:

  • online through the portal
  • Connect IPS / QR
  • bank voucher
  • exam office bank counter

Step 5: Submit the Application

Submit the completed form with all supporting documents. This can be done:

  • online through the university portal, or
  • physically at the examination office

Pokhara University, for example, provides online transcript applications with status tracking.

Step 6: Track Status or Wait for Processing

Most universities provide:

  • collection date
  • SMS/email notice
  • dashboard status tracking
  • receipt reference number

Processing time can range from the same day to several working days, depending on urgency and university.

Step 7: Collect the Transcript

Once ready, collect your transcript:

  • from the examination office
  • from the liaison office
  • through an authorized receiver
  • through sealed dispatch if needed for abroad study

If you are applying abroad, always ask whether you need:

  • normal transcript
  • attested transcript
  • sealed transcript
  • WES direct dispatch

because this changes the process.

What Other Documents do Abroad-Study Students Need?

Many students focus only on the transcript and forget the full document set. In practice, study abroad applications often involve a bundle:

  • transcript
  • provisional or degree certificate
  • character certificate
  • passport
  • English test result, if applicable
  • translations if needed
  • attested copies or sealed envelope versions
  • migration certificate in some cases
  • board/university verification for evaluators

This is also why you should read the admission requirements line by line. Official international admissions pages often separate “transcript” from “degree certificate” and often require English versions or official translations if the record is not already in English.

Fees and Processing Time in Nepal

This is where students want one simple answer, but the honest answer is: fees and timelines vary by board, university, and document type. Kathmandu University says that fees are shown in the Fee Details section of its system. Pokhara University shows status-based online processing and release once the document is ready. TU’s manual explains the portal and payment flow, but students still need to print and submit the application form after payment.

Purbanchal University is a clear example because its published fee schedule for non-transcript documents is visible on the form itself. Its form lists:

  • Provisional Certificate: Rs. 1,000
  • Migration Certificate: Rs. 1,000
  • Original Certificate: Rs. 2,500 for Bachelor’s / Rs. 3,000 for Master’s

For transcript fees specifically, do not assume one university’s price applies to another. Always check the official form or the live portal before paying. That is the safest advice.

Common Mistakes Students Should Avoid

Students should avoid submitting the wrong documents, entering incorrect personal or academic details, failing to pay required fees, and applying without checking the exact transcript format their university abroad requires.

  • Applying for the wrong document: Many students request a provisional certificate when the university actually requires a transcript, or vice versa. Nepali institutions clearly separate these documents in their forms and portals.
  • Using mismatched personal details: KU’s portal explicitly states that the student’s name and details must match the university’s registration details. Even a small mismatch in name format, spelling, or registration data can slow things down.
  • Entering an incomplete academic history: TU’s transcript manual instructs students to enter exam details for every exam they attempt. Missing one year, part, or attempt can create delays or correction requests.
  • Sending original documents abroad: USEF Nepal clearly warns students not to send original academic documents to colleges and universities because they may not be returned.
  • Ignoring the official submission format: Foreign universities and evaluators often want documents in sealed envelopes, secure electronic delivery, or sent directly from the issuing institution. WES and universities such as UBC and ASU all emphasize the rules for official source submissions.
  • Waiting until the last week before the deadline: Even when a portal exists, some Nepal-based systems still involve manual verification, payment confirmation, printing, branch review, or physical collection. TU and Pokhara University both show that document handling can involve multiple steps beyond just clicking submit.

Is a transcript the same as a certificate in Nepal?

No, a transcript, provisional certificate, migration certificate, and original degree certificate are treated as separate academic documents in Nepal. You need to apply for them separately.

You can get your transcript from the board or university that issued your final result. Grade 12 students apply through NEB, while university graduates apply through their university’s exam office, controller’s office, or document portal.

Yes, the TU, KU, Pokhara University, Nepal Open University, and NEB boards now offer online or portal-based application systems. However, some processes still require printing forms, verification, or physical collection.

Sometimes, foreign universities and credential evaluation agencies may request official transcripts in a sealed envelope, sent via secure electronic delivery or directly by the issuing institution.

You should send original academic documents only if the university or an official evaluation body specifically requests them.
